Quick Start Guide for OperantOS

Welcome to OperantOS

OperantOS deploys managed AI agents that automate critical workflows for trades contractors, bookkeeping firms, and property managers. This guide walks you through your first 15 minutes on the platform.

Step 1: Create Your Account

Visit operantos.ai/signup and enter your business email. You will receive a verification link. Click it to activate your account and land on the onboarding wizard.

Step 2: Choose Your Product

OperantOS offers three managed agents:

  • CloseBot -- Automated estimate follow-up for trades contractors. Sends SMS and email sequences to customers who received estimates, handles objections, and alerts you when a buyer is ready to close.
  • LedgerPilot -- AI bookkeeping assistant for accounting firms. Auto-categorizes bank transactions, chases clients for missing receipts via SMS magic links, and delivers a daily digest of exceptions.
  • FixFlow -- Maintenance triage and vendor dispatch for property managers. Receives tenant requests via text, classifies urgency, dispatches vendors, and keeps tenants updated automatically.

Select the product that matches your business. You can add additional products later from your dashboard.

Step 3: Connect Your Tools

Each product integrates with the tools you already use:

  • CloseBot: Connect Jobber, Housecall Pro, or ServiceTitan to automatically ingest new estimates. Or forward estimate emails to your CloseBot inbox.
  • LedgerPilot: Connect QuickBooks Online or Xero via OAuth. LedgerPilot reads your transaction feed and chart of accounts automatically.
  • FixFlow: Import your vendor list via CSV or connect AppFolio / Buildium for tenant and property data sync.

Step 4: Configure and Launch

Follow the product-specific setup wizard. Each wizard takes 5-10 minutes and covers your preferences for messaging tone, notification channels, approval thresholds, and team member access.

Step 5: Monitor from Your Dashboard

Once live, your dashboard shows real-time activity: estimates being followed up, transactions being categorized, or maintenance requests being triaged. Check in daily for the first week to build confidence in the system.
